Cloudbeds API – Frequently Asked Questions

BPN Maestro fully interfaces with your Cloudbeds PMS system, allowing you to seamlessly share guest data and other PMS information with BPN Maestro.

The below article explains in more detail how the interface works, what is required for a successful setup, what are the limitations of the interface and what are some of the most common questions users have when connecting BPN and Cloudbeds.

Cloudbeds API

Cloudbeds PMS is a leading Property Management System (PMS) provider in the hospitably market, offering hotels an easy way to manager their bookings and guest reservation details. As part of their PMS ecosystem, the Cloudbeds development team offers third-party systems like BPN Maestro a way to connect and access guest details of the respective Cloudbeds property, essentially allowing us to display guest and room details in our application and utilising this data in our system. All settings related to The BPN Maestro <> Cloudbeds PMS interface can be managed by the BPN Maestro Hotel Administration (usually your IT Manager) by navigating to System Settings > API Settings within the BPN Maestro application. Limiting Access

Protecting your guest’s data is of paramount importance, hence it is important for you to know exactly what details are being shared with BPN Maestro. When connecting BPN and Cloudbeds for the first time, you will be given the option to specify exactly what data and interactions BPN Maestro will be allowed, including whether the shared data should be read-only or allow both read-and-write access. Please keep in mind that for the best possible experience of BPN Maestro, we require both read and write access to your guest data, for more details on how your data is handled please refer to our Data Processing Policy and Data Privacy Policy.

Common Limitations

While the Cloudbeds API is extremely powerful and allows BPN Maestro easy access to your data, there are certain limitations and differences between our systems that you may need to be aware of:

  • Room inventory changes are not updated in BPN Maestro
    • The Cloudbeds <> BPN interfaces exchanges your live guest data across the two systems, however, room inventory changes are only synchronised once during setup, and then only on demand when needed.
    • This means that if your hotel undergoes changes in its room inventory (eg. renovation, change of room types, removal / addition of rooms), those will not be automatically reflected in BPN Maestro unless updated by the BPN Hotel Admin (usually your IT Manager).

  • Cloudbeds room numbers are not shown correctly in BPN Maestro
    • Most properties use numerical values for room numbers (eg. 1102) while some selected properties mix both numbers and letters for their room numbers (eg. V102). As of writing this article, BPN Maestro supports only numerical room numbers and requires Cloudbeds PMS properties to provide an Alias Room Number to BPN in order to correctly display Logbook Cases and Guest Requests for those particular rooms.
    • Affected Cloudbeds room numbers will have to be “translated” to BPN Maestro in order to be processed, for example room “V102” could turn into “9102” and displayed as such throughout the BPN Maestro system.

Frequently Asked Questions

How to access the API Settings?

All API Settings for our various supported PMS systems can be found in the BPN Maestro application via System Settings > API Settings. You may refer to the Cloudbeds section and carry out various actions such as Enabling / Disabling the intercase or refreshing the Room Details from there.

I do not see any API Settings?

API System Settings are by default only enabled for the BPN Hotel Admin account holder (usually your IT Manager). If you do not see any System Settings button, or do not see any API Settings listed in the sidebar menu, please contact your IT Manager for assistance to enable those permissions for you.
